Artwork Committee Purpose and Objectives:

The Artwork Committee’s role is to work with professional artists to help create culturally authentic, inclusive artwork grounded in respect and appreciation for diversity; as well as to encourage diverse representation by providing the year’s featured artist thoughtful criticism. The committee conducts its business virtually via email, meetings, and with online polling tools.

Estimated Time Commitment:

  • During the busiest months, approximately 2 – 4 hours monthly
  • Busiest Months: Generally, most active from August through January

Committee Chair Responsibilities:

  • Meets virtually discuss scope of project, theme, and schedule
  • With other committee chairs, creates a list of possible illustrators/artists for Executive Director
  • Appoints and communicates with committee members
  • Schedules virtual meetings with committee for comments and feedback on artwork (3 – 4 meetings per term)
  • Creates forms for committee comments and feedback
  • Compiles committee feedback and submits to executive director  (3 – 4 times per term)
  • With the support of the committee, seeks to guide artwork to be representative and respectful of diverse communities
  • Committee co-chairs serve a 2-year term, with ability to reapply for another 2-year term

Budget and Finance Purpose and Objectives:

It is the charge of the Budget and Finance committee to manage and serve as custodian of the funds of the Collaborative and to provide primary oversight of CSLP expenditures. In addition, the Budget and Finance Committee authorizes, receives and approves an annual audit of CSLP finances.

Estimated Time Commitment:

  • Committee members meet several times a year via zoom to monitor and approve budget changes for recommendations to the CSLP Executive Board.

Committee Chair Responsibilities:

  • The Budget/Finance Committee Chair is the Treasurer
  • Working with CSLP staff, monitor income and expenses

The Committee is responsible for contributing content to their respective manual, as well as vetting, testing, revising, and improving the ideas that are submitted for the manual by the membership. The Committee works closely with the Editor and Writers of the manual to create an organized, creative, and useful manual.

  • Committee Member: For the months of November through December, roughly 2-4 hours a month while developing programs for the manual.
  • Committee Chair: For the months of November through December, approximately 8 hours a month.
  • Busiest Months: Generally, most active from October through January.

Manual – Review Committee Purpose and Objectives:

The Manual Review Committee reviews the content drafted by the five manual committees. The Committee works closely with the Editor and Writers of the manual to create an organized, creative, and useful manual.

  • Busiest Time: Generally, most active from November through March

Manual – Spanish Committee Purpose and Objectives:

Each Manual Committee is charged with overseeing and coordinating the development of their respective program planning manuals. The Committee is responsible for contributing content to their respective manual, as well as vetting, testing, revising, and improving the ideas that are submitted for the manual by the membership. The Committee works closely with the Editor and Writers of the manual to create an organized, creative, and useful manual. The Spanish Manual Committee sources songs and books for early literacy programming in Spanish. For children, teens, and adults, they generate book lists, ideas for printables, and resource documents with tips for librarians.

Estimated Time Commitment:

  • Committee Member: Depending on how much they want to contribute, committee members should expect to spend four hours per month on committee work, during the busiest months.
  • Committee Chair: 12 hours average per month during busiest months.
  • Busiest Months: October through January. Occasionally committee members are called upon to review translations.

Membership Committee Purpose and Objectives:

It is the charge of the committee to serve as liaison between individual members and the Board of Directors, presenting members’ concerns, questions, and suggestions to the Board. The committee’s second charge is to oversee and maintain the Policies & Procedures, and to ensure that the Bylaws are consistent with practice as well as with policy and procedure changes made by the Board. This committee is open to State Reps and attendance to all CSLP Board Meetings is encouraged for members.

Expectations of Committee Members

  • Committee Member: Average 30 minutes to 1 hour a month.
  • Committee Chair: Average 1 hour a month.
  • Busiest Months: This committee work is consistent throughout the year.

Committee Chair Responsibilities:

  • Act as an advocate for the general Membership and State Representatives in all board discussions.
  • Serve as a liaison between individual members and the Board of Directors, presenting members’ concerns, questions, and suggestions to the Board.
  • Annually solicit feedback from State Reps on their satisfaction with CSLP’s services and encourage suggestions for improvement. This can be done in whatever way the Committee deems appropriate.
  • Connect with new State Representatives to answer any questions they may have.
  • Oversee the maintenance and updating of the Policies & Procedures documents.
  • Work with the CSLP secretary on ballot language for all proposed revisions of the CSLP Bylaws that require membership vote.
  • Monitor Board actions for policy and/or procedure changes and ensure revisions are incorporated into the CSLP Policies or Procedures documents.
  • Report back to the committee following Board meetings on any formal actions that may involve updates to the Handbook.
  • Communicate the existence of the Bylaws and Organizational Handbook to the membership.
  • Committee chair serves a 2-year term

Outreach Committee Purpose and Objectives:

The Outreach Committee recognizes the role of the library as a community connector. The committee provides support and resources that empower libraries to build community relationships, serve a diverse range of community members, and expand library services beyond the library building.

Our goal is to connect libraries with real and successful examples of outreach activities in the summer. We see our work as continuous – there will always be new information to add to it, and we will eventually develop a weeding schedule to archive old or outdated material.

Partnerships Committee Purpose and Objectives:

The Partnerships Committee was formed by the Board of Directors in 2024 in order to facilitate the many inquiries CSLP gets to partner.  The success of our organization is strengthened through strong partnerships with various entities, including non-profit partners, for-profit sponsors and other types of partnership agreements. Each type of partner plays a role in supporting our mission and contributing to our impact on libraries and building the communities they support.

Social Media Committee Purpose and Objectives:

The Social Media Committee is responsible for the creation of the annual Social Media Toolkit, maintaining the various Social Media accounts, and communicating items of interest to library staff. The Social Media platforms that are maintained and populated by Social Media Committee often serve as the public face of CSLP and strive to create an inclusive and inviting community for practitioners.

Estimated Time Commitment:

  • Committee Member: Varies widely – some members that are dedicated to monitoring social sites and sharing/posting information average 8 hours a month. For committee members who focus only on creating the annual Social Media Toolkit, about 4 hours a month between April and June.
  • Committee Chair: 4 hours a month
  • Busiest Months: Fairly consistent throughout the year with a slight uptick in activity in the months leading up to summer and the creation of the Social Media Toolkit.

  • Coordinate posts across CSLP’s various social media platforms
  • Sharing and promoting any other promotional partnerships, like the Summer Reading Champion

Statistics Committee Purpose and Objectives:

The Statistics Committee focuses on data collection as it relates to CSLP products and summer programming in libraries. The committee is responsible for overseeing the CSLP Annual Survey, a national survey sent out to CSLP State Reps and Member Libraries. Committee work supports CSLP, researchers, stakeholders, and library staff.

  • Committee Member: 1-2 hours average per month.
  • Committee Chair: 2-3 hours average per month.

Theme and Slogan Committee Purpose and Objectives:

The Theme and Slogan Committee works with committee co-chairs, to provide feedback and support in consolidating and wordsmithing theme and slogan suggestions submitted by members.  Committee members meet via Zoom as well as participate in and support listening sessions for all CSLP members.

  • Committee Member: Average 1 to 2 hours a month.
  • Committee Chair: Average 10 hours a month.

Vendor Committee Purpose and Objectives:

Provide feedback and suggestions for CSLP store product development of the physical materials, promotional items, and incentives to complement the summer programs. The committee conducts its business virtually via email, zoom meetings, and with online polling tools.

  • Coordinate with Executive Director and committee members to select wholesale items for CSLP store
  • Coordinate any voting/polling of committee members for product selection
  • Serve as a member of the CSLP Board; participate in monthly Board meetings & retreats
